In 2021, Ricoh embarked on one of its most significant business transformation initiatives: OSCAR – Office Services in the Cloud At Ricoh. This multi-year programme introduced Oracle Cloud Services at its core, integrated with SAP Concur Expense Management and ARIS Elements Process Management. The aim was clear: to unify processes across EMEA, streamline operations, and support Ricoh’s ambitious growth journey.
The Challenge
As Ricoh grew across EMEA through acquisitions, each new business brought with it its own systems, processes, languages, and ways of working. This left Ricoh with fragmented processes and the challenge of consolidating into one consistent platform.
Migrating these businesses (known internally as NewCos) onto Oracle Cloud required:

Careful planning to accommodate different sizes, systems, and readiness levels.

Training tailored to diverse user groups, languages, and cultures.

Supporting employees through significant change to ensure confidence in new processes.
The ultimate goal was to prepare both NewCo users and Ricoh’s central teams for a unified, cloud-enabled future.
The Approach
Ricoh partnered with Fudgelearn to deliver end-user training, change management, and adoption support across phases of OSCAR.
Phase 1 – NPO (Italy)

A detailed Training Needs Analysis (TNA) was carried out to identify user roles, topics, and training requirements.

Over 50 training courses were developed in English, alongside Quick Reference Guides and videos, which were then translated into Italian.

Training was delivered virtually via Microsoft Teams, ensuring timely upskilling despite tight deadlines.

Post go-live, users were supported with Oracle Guided Learning, enabling in-application, real-time guidance.
Phase 2 Wave 1 – LAKE (Switzerland)

The TNA was refreshed to reflect enhanced processes and systems.

A validated training scope of 66 modules was agreed, with clear learning objectives and audience mapping.

Materials were redeveloped, including presentations, workbooks, guides, and videos.

As the business language of LAKE is German, all content was translated and delivered onsite in Zurich.

Training was grouped flexibly—modules could be delivered as full courses or as standalone sessions, supporting both classroom and remote learning.

Additional training was provided for Ricoh Business Services (RBS) users in Finance, delivered in English and German.
Ongoing Phases
Building on lessons learned from NPO and LAKE, Fudgelearn is continuing with TNAs and training for upcoming NewCos, including DataVision (Germany) and MTI (UK, France, Germany). Each phase is strengthened by joint reviews and refinements to continually improve quality and user experience.
