Overview
Based in Scotland’s capital city, the Council provides a range of public services to over 498,800 citizens. The City of Edinburgh Council is responsible for providing political leadership and governance for a comprehensive range of services across the city. They have 63 councillors representing 17 wards multi-member wards within the City of Edinburgh are elected every four years by STV system.
The Council’s Oracle EBusiness Suite system was aging and needed to be upgraded, along with this the Council wanted to maximise the new functionality that was made available to them via this upgrade. Fudgelearn were selected by the incumbent systems integrator to support the change management aspects of this upgrade by training key users within the Central functions and an internal trainer who would cascade this knowledge through the organisation. Â
Challenge
Not only did CEC need to upgrade their Oracle EBS system to the latest version (R12.2), alongside this they wanted to implement an Advanced Collections system, which was heavily customised. Our team needed to work with the System Integrator and Customer to ensure all users were trained on the new system, process and policies in time for go-live. Training needed to be delivered virtually due to Covid restrictions and logistics.Â
Approach
Our small team worked with the key stakeholders, the Council’s internal trainer and the systems integrator to understand and agree the training scope, how the training could be best delivered and what supporting documentation the users would need, so that additional support could be given post-training.
Our team then developed training manuals and training presentations, covering the following subjects: Sub-Ledger Accounting Principals (SLA), General Ledger (GL), Accounts Payable (AP), Procurement, iProcurement, Cash Management and Oracle EBS R12 Overview Training.Â
It was important that the Council’s key users were taught on the key differences between their R11i version of Oracle EBS and the R12 version that they were moving to, this laid the foundation of the SLA and then core Finance Training.Â
All training delivery was delivered remotely via MSTeams and was recorded for reference purposes.Â
Benefits
The team, plus the internal trainer, became very proficient in the new processes, understood how the system works and integrates. The internal trainer was then able to pass on the knowledge internally in a more cost effective manner, with the aid of the recording training sessions and supporting training materials.
